The real price ranges in Belgium

Every pricing page shows a headline figure, rarely the one you end up paying. What you spend depends first on who you are: a student entrepreneur issuing three invoices a month and a caterer taking payments over the counter are not in the same league.

A useful benchmark: if a quote goes above 60 euros excl. VAT per month for one person who only invoices, ask for the line by line detail. There is usually a module in there you will never open.

Six things that move the number

Two neighbouring businesses, same sector, same size, sometimes end up paying two or three times as much as each other for the same solution. Here is where the gap comes from.

  • How many people log in. With vendors who charge per seat, this is by far the biggest factor.
  • Which modules you switch on. Invoicing alone costs little, but CRM, stock, bank feeds and the cash register add up fast when they are sold separately.
  • The volume of documents you send and receive over Peppol, when the plan comes with a monthly quota.
  • Hardware, if you take payments at a counter: receipt printer, cash drawer, payment terminal, sometimes imposed by the vendor.
  • Setup and migrating your old data, billed by the hour on solutions that need configuring.
  • Commitment. Paying yearly often saves two months, but ties you for a year to a tool you barely know yet.

How Belgian vendors build their pricing

There are five ways to charge for business software, and they are not equivalent depending on your profile. None of them is dishonest, but each one favours a certain type of company and penalises another.

So spot the logic before you compare the figures. A price of 12 euros per user beats a flat 19 euros as long as you work alone, and costs twice as much from your third team member onwards.

Is Peppol itself paid for?

No, and this is the most persistent misunderstanding since the mandate came into force. Peppol is an exchange network built on open rules. It sends no invoice to the end user and takes no cut on your documents.

What you pay for is the access point: the registered provider that pushes your invoices onto the network and receives the ones your suppliers send. Some vendors are an access point themselves, others work through a technical partner and pass that service on to you.

In practice, three models coexist in Belgium. Peppol sending included in the subscription with no meter, which is how Novadesko works. A monthly quota of documents, beyond which each item is charged. Or per item pricing, often a few dozen cents per document, which stays reasonable at low volume and gets expensive once you scale up.

Since 1 January 2026, an invoice between two Belgian VAT registered businesses has to leave in structured electronic format over Peppol. Plenty of business owners put off the switch because they pictured a heavy investment. There is none.

Put VAT into your calculation the right way round: the 21 percent charged on the subscription is recoverable if you are VAT registered with the right to deduct. What actually weighs on your cash is the figure excluding VAT.

The lines you discover after signing

Seven files out of ten go smoothly. The other three go wrong on items nobody mentioned during the demo.

  • Your accountant's access billed as a paying user, when all they do is look at your books and export them.
  • Setup or data migration fees that appear on the order form rather than in the demo.
  • An entry price valid for twelve months, followed by a distinctly higher standard rate on renewal.
  • A Peppol quota exceeded without warning, discovered on next month's invoice.
  • Cash register hardware imposed by the vendor while yours works perfectly well.
  • A paid or partial export of your data on the day you decide to move elsewhere.

Always ask for those six points in writing before you commit. A vendor who answers in two lines reassures you far more than a thirty page brochure.

Working out your budget over twelve months

Take the most common case: one person working alone, around a hundred invoices a year, a few dozen expense receipts, one VAT return per quarter. At 19 euros excl.
