POS software in Wallonia

POS software in the province of Liège : from the city to the High Fens

A snack bar in Le Carré, a bakery in Herstal, a hotel restaurant in Spa, a village café up above Verviers : the province of Liège lines up businesses with almost nothing in common, apart from the duty to account for every euro taken.

One province, several markets

The province of Liège fits into one administrative line, not into one type of trade. There is the city of Liège with its nightlife, the Meuse valley from Seraing to Visé with its corner shops, the Herve country and Verviers, then the High Fens and the Ardennes where the turnover is made in a handful of months.

Add the German speaking eastern cantons, where part of the customers and part of the staff work in German. A business in Eupen or Malmedy often juggles three languages in the same day.

That variety explains why ready made advice works badly here. The right question is not which POS software is best, but what your business actually needs on the days it runs flat out.

The certified scheme and the 25 000 euro threshold

The certified cash register scheme applies to hospitality. It kicks in at 25 000 euros excluding VAT per year of meals consumed on the premises, measured over twelve months of actual trading. Drinks do not count towards it, which regularly surprises cafés that serve a few dishes.

A compliant setup always has three parts : approved software, the fiscal data module that signs each transaction, and a VSC card for every person taking payment. The customer gets a receipt for every transaction, without exception.

An ordinary retailer falls outside the scheme but still has to be able to justify their takings. There the pressure is not legal but practical : without an organised till, the VAT figures get rebuilt by hand every three months.

Guest houses, holiday lets and hotels serving a proper meal fall under the same threshold as restaurants. Breakfast included in the room rate follows a different logic : have your case settled by your accountant rather than by a forum.

Which kit suits your trade

A neighbourhood chip shop, a twenty cover restaurant and a shop on the Vinâve d'Île do not have the same needs. The table below sums up what each profile actually uses, rather than what a catalogue is trying to sell.

Start from the busiest moment of your week. A system that holds up on a Saturday lunchtime will hold up the rest of the time. The reverse is never true.

What you need, by type of business

Your activity Certified scheme What matters most day to day
Restaurant or brasserie with a dining room Yes above 25 000 euros of meals on the premises Table service, several tills, closing per staff member
Chip shop or snack bar, mainly takeaway Rarely, takeaway does not count towards the threshold Speed at the counter and a clean split of VAT rates
Café serving a few dishes To review each year, only the kitchen counts Monthly tracking of meal turnover apart from drinks
Hotel or holiday let serving meals Yes if meals pass the threshold Link between nights, extras and the customer invoice
Non food retailer Not concerned Stock, receipts and justification of takings

Tourist season and temporary staff

In Spa, in Malmedy, in Durbuy or around the circuit, part of the year weighs far more than the rest. Event weekends, the summer peak and the Christmas markets pack the turnover into a few dozen days.

Peaks mean extra hands. Students, casual staff, flexi jobs : under the certified scheme each of them rings up with their own VSC card, and that gets sorted before the first service rather than after. Settle at the same time who may grant a discount and who may void a receipt, it saves awkward conversations at closing.

A readable screen does more than a long briefing. Someone working on their own after five minutes means a queue that never gets the chance to form.

  • One card or code per staff member, so every transaction stays traceable
  • Discounts and voids reserved for those who answer for them
  • A closing per staff member and per payment method
  • Products already tied to their VAT rate, so nobody has to choose at the till

The budget, without surprises

A POS system costs money on three lines : the software, the hardware and, under the certified scheme, the fiscal data module. Offers that quote a single monthly price often blend all three, which makes any comparison impossible.

The Novadesko subscription starts at 19 euros excluding VAT per month, with no lock in period. Peppol invoicing, the CRM, stock and cash flow tracking are included, and your accountant gets access to your file for free. No setup fees, since there is nothing to install.

For a seasonal business, look above all at the fixed cost during the quiet months and check that your data stays exportable if you ever change supplier. That question never comes up at a convenient moment.

What Novadesko brings to the province of Liège

Novadesko combines till, invoicing, stock and accounting in a platform that stays readable in the middle of service. Tonight sales are in your figures tomorrow morning, with no file to upload.

For business customers, hotels, groups or companies ordering a buffet, the invoice starts from the same product file as counter sales and reaches the accounts alongside the day takings. Between Belgian VAT registered parties it has travelled over the Peppol network since 2026.

For activating the certified scheme with a fiscal data module, the NovaResto offer covers the hardware and the black box. Certification of the system and the FDM distributor agreement are in progress : get in touch to find out where that stands before planning an installation, especially if you want it finished before the season.

Frequently asked questions

Is a certified cash register compulsory for my business in Liège ?

If you exceed 25 000 euros excluding VAT per year of meals consumed on the premises, yes. The rule is federal and applies the same way in Liège, in Verviers and in the eastern cantons.

How much does POS software cost in the province of Liège ?

The Novadesko subscription starts at 19 euros excluding VAT per month, with no lock in. On top come the hardware you pick and, under the certified scheme, the fiscal data module and the VSC card.

My café serves dishes at lunchtime, am I concerned ?

Only turnover from meals consumed on the premises counts towards the threshold. A café with a modest kitchen often stays below it, but that check is worth redoing every year.

Does the software work in German for a business in the eastern cantons ?

The Novadesko interface exists in English, French and Dutch. Your products, receipts and invoices are written in whatever language you type in.

What do I do with a subscription during the quiet months of a seasonal business ?

Look at the fixed monthly cost and at the absence of a lock in period. Above all, check that your data stays exportable, which is what keeps you free to change your mind later.

Can I raise an invoice for a hotel or a group from my till ?

Yes. For a Belgian VAT registered customer that invoice goes out over the Peppol network, from the same products as your counter sales.

This page is informative. The rules on the certified cash register scheme depend on your actual activity and change from time to time : have your situation confirmed by the FPS Finance or by your accountant before you order any hardware.
