What is Peppol?

Peppol is an international network businesses use to send each other structured electronic invoices, straight from one piece of software to another, with no email and no PDF. The format is called Peppol BIS 3.0: an XML UBL file following the European standard EN 16931. In Belgium your address on the network is your company number, registered under scheme 0208.

Can software be Peppol certified?

There is no official badge handed to software vendors. What does exist is access point status: a provider registered with OpenPeppol and visible in the public registry. Novadesko holds that status. Before signing with anyone else, ask for the name of their access point and look it up yourself.

Is electronic invoicing mandatory in Belgium?

Yes. Since 1 January 2026, invoices between VAT registered Belgian businesses must be structured and travel over a network such as Peppol. Public procurement was already covered before that. A PDF sent by email no longer counts for these exchanges.

How much does Belgian invoicing software cost?

At Novadesko, subscriptions start at 19 euro excluding VAT per month with no lock in, and the trial runs for 14 days with no card. The final figure depends on the modules you switch on: invoicing, CRM, point of sale, stock or bank feeds. Peppol sending and receiving are included, with no charge per invoice.

How do you send an invoice through Peppol?

You write the invoice as usual, check that the customer is registered on the network, and send. The software handles the conversion to XML UBL and the transport. If the recipient is not on Peppol yet, the invoice goes out by email without you having to think about it.

When do you need a certified cash register?

The registered cash register system applies in hospitality once turnover from meals served on the premises passes 25 000 euro excluding VAT over twelve months. It combines a till with a fiscal data module and a VAT Signing Card, which sign every receipt. Outside that case, ordinary point of sale software is enough.

Can my accountant reach my file?

Yes, with their own login and their own permissions, without sharing your password. They pull the documents and the exports in the format their accounting package expects, which saves the usual end of quarter email exchange.
