Practical Peppol guide

How to send a Peppol invoice

Since 2026, invoices between Belgian businesses travel in a structured format. The action itself is quick, but it assumes two or three settings you get right once. Here is the full run through, from the first field in your company profile to the delivery receipt.

Sending a Peppol invoice in five moves

The first time takes twenty minutes, mostly filling in your company details. After that, an invoice leaves in two clicks.

  1. Step 1

    Complete your company profile

Company number, registered address, IBAN, VAT scheme and legal mentions. Those fields travel inside every structured invoice, and a single gap is enough to stop the send.

  2. Step 2

    Activate your Peppol ID

Your company number becomes your address on the network, under the Belgian 0208 scheme. With Novadesko you switch it on from your settings, with no form to send back.

  3. Step 3

    Add your customer's company number

The software queries the network directory and tells you straight away whether that customer can receive a structured invoice. Without their company number, nothing can be sent.

  4. Step 4

Create the invoice and send via Peppol

You enter your lines as usual, with a VAT rate on each one, then pick Peppol as the delivery method. The document leaves in Peppol BIS Billing 3.0 format.

  5. Step 5

    Check the delivery receipt

Your customer's access point confirms delivery, usually within seconds. Until that confirmation shows up, treat the invoice as on its way rather than arrived.

What you need at hand

A Peppol send is decided before the invoice exists. The network checks the document on departure, so a missing field means nothing leaves and you hear about it right away. That feels blunt compared with a PDF by email, and it beats a call from your customer's bookkeeper three weeks later.

Gather these items once. You will enter them on your first invoice only, after which they follow every document.

  • Your company number exactly as it appears in the Belgian business register.
  • Your registered address, the official one rather than the office you actually work from if they differ.
  • Your IBAN, your payment terms and the credit period you grant.
  • Your customer's company number, which acts as their address on the network.
  • A VAT rate on every line, including exempt lines and reverse charge lines.

What the network checks before your invoice leaves

Field Where you set it What happens if it is missing
Sender company number Your company profile Your Peppol ID cannot be published
Customer company number Customer record The network has no address to deliver to
VAT rate per line Invoice lines The document is rejected before it goes out
Exemption reason VAT free or reverse charge lines Rejected for a missing legal mention
IBAN and due date Your company profile Invoice does not meet the European standard

Unsure about a legal mention? Pull up a recent paper invoice your accountant has already signed off, everything is on it.

Sending, step by step

Let us walk through the five moves from the top of the page again, this time with what happens behind the screen.

Your company profile fills the header of every structured invoice. Activating your ID publishes your company number in the network directory, and from that moment any supplier can invoice you without you sending them anything.

Then comes the customer. Type in their company number, the software checks the directory and shows whether they can be reached. You build the invoice as usual, line by line, with the right VAT rate on each. When it is time to send, choose Peppol rather than email.

The document leaves in Peppol BIS Billing 3.0, a format your customer's software reads without human help. Seconds later, their access point confirms delivery. That confirmation is the only proof that counts, so make a habit of glancing at it before you move on.

  • Allow twenty minutes for the setup, two clicks for every invoice after that.
  • Nothing to install on your computer, it all happens inside your invoicing software.
  • No paperwork with the authorities, your registration goes through your access point.
  • You can still attach a readable PDF, but the structured file is the original.

Test with a customer you know well first, or with your own second company if you have one. You get to watch the full journey without a real payment riding on it.

Finding your customer's Peppol ID

Every business on the network has an address. In Belgium it is the company number prefixed with the code 0208, which simply says the number comes from the national business register.

So there is nothing to request from your customer. No account, no access code. Their VAT number is enough, and it already sits on the paperwork you exchange with them.

If the directory does not find them, there are two explanations. Either they have not switched Peppol on with their provider yet, or the number you typed has a digit wrong. Count the digits again before drawing conclusions.

Our Peppol page runs the same lookup in the open, with no account needed. Handy for running through a customer list before you switch over.

Checking the invoice really arrived

A Peppol invoice moves through a few states before it lands with your customer. Knowing them stops you chasing too early, or worse, sending a duplicate.

In practice delivery is confirmed within seconds. A status still hanging after an hour deserves a look, though it is rarely serious. The network retries on its own when the access point on the other side is briefly unavailable.

The states of a Peppol send

Status What it means What you do
Draft The invoice is written but not sent yet You read it over and approve it
Sent The document has left your access point You wait a few seconds
Delivery confirmed Your customer's access point took the document Nothing, it is with them
Rejected A field is blocking validation You fix the flagged field and send again
Not reachable The customer is not in the directory Sending falls back to email

Delivery proves your customer's software received the invoice. It says nothing about their agreement or their payment, and those two remain between the pair of you.

When the network rejects your invoice

A rejection is nothing to worry about. It flags a missing or inconsistent field, and it lands immediately, before the document goes anywhere. You fix it, you send again, two minutes later it is behind you.

The causes fit on one hand, and it is nearly always the same handful.

  • Customer company number missing, incomplete or mistyped.
  • An invoice line with no VAT rate, often a discount or a travel charge.
  • No exemption reason on a reverse charge or VAT free invoice.
  • A malformed IBAN, or no bank account in your company profile.
  • A due date earlier than the invoice date, usually a typo.

Do not raise a new invoice to fix a rejection. The document never left your software, so your numbering stays clean. If the invoice has already gone out, use a credit note instead.

If your customer is not on Peppol yet

It still happens, mainly with very small outfits and with private customers, who fall outside the obligation anyway.

In that case the invoice goes out by email with its PDF, exactly as before. You enter nothing twice and change none of your habits. The day that customer joins the network, sending switches to structured on its own.

With Belgian business customers it is worth a word all the same. The obligation applies to them too, and a supplier who quietly points out that they cannot be found in the directory is doing them a favour.

Receiving, the other half of the job

Plenty of business owners set up sending and stop there. A shame, because receiving is where the real time saving sits.

A purchase invoice that arrives over Peppol drops into your purchase journal with the supplier, the amount and the VAT already read. You confirm the expense category and your deductible VAT is in place, without a single field retyped.

The opposite is expensive. If your tool cannot receive, supplier invoices get lost somewhere between two mailboxes, and it is your VAT deduction that suffers when the return is due.

With Novadesko, sending and receiving are both included in the subscription, with no document quota and no box to tick.

Frequently asked questions

How do you send a Peppol invoice when starting out?

Complete your company profile first, activate your Peppol ID, then add your customer's company number. Create the invoice as usual and choose Peppol as the delivery method. The delivery receipt follows within seconds.

Do I need special software to send a Peppol invoice?

You need a tool connected to an access point on the network. Most Belgian invoicing packages now are, Novadesko included. There is nothing to download, it all runs in your browser.

How long does a Peppol invoice take to arrive?

Seconds, in the vast majority of cases. If the recipient's access point is briefly unavailable, the network retries by itself and delivery is confirmed a little later.

Can I send a Peppol invoice for free?

Free public portals exist for a handful of invoices a year, mainly towards the public sector. They keep no accounts and track no payments. With Novadesko, Peppol sending is part of the subscription and the trial costs nothing.

Is a PDF by email still enough?

Not between VAT registered businesses established in Belgium. Since 1 January 2026 those invoices must be issued and received in a structured format. The PDF keeps its commercial value but no longer meets the obligation.

How do I cancel an invoice already sent over Peppol?

The same way as on paper, with a credit note. It travels over the network too and stays linked to the original invoice. A delivered document cannot be pulled back, no more than a posted letter.

Do invoices to private customers have to go through Peppol?

No. The Belgian obligation covers exchanges between VAT registered businesses. Private customers keep receiving a standard invoice, by email or on paper.

Can I send a Peppol invoice to a customer abroad?

Yes, as soon as they are registered on the network. Peppol is used across much of Europe and well beyond. The send follows the same path, using the identifier of the country concerned.

Belgian e-invoicing rules keep moving and software screens change with every release. For your own situation, especially under a special VAT scheme, your accountant has the final word over this page.
